Job Brief

Our senior executive and leadership team is seeking an executive assistant or senior executive assistant to help with various administrative tasks for our leadership. The executive assistant will support senior management by assisting with travel arrangements, scheduling meetings, and scanning documents. They will be working closely with staff members on special projects, ensuring each meeting is on schedule, and more. The executive assistant will oversee all administrative duties on behalf of the executive. And handle their own project management of any additional work assigned by the executive.

Duties and Responsibilities

  • Become the “personal assistant” to the executive.
  • Assume all administrative support tasks and functions.
  • Have close communication with the Vice President and other senior administration.
  • Work closely with a variety of team members and employees to assess the needs of the executive.

  • Position all administrative tasks to be completed with ease.

Requirements

  • Bachelor’s Degree in Business, Communications, or Marketing.
  • Preferrably two to three years of administrative assistant experience.
  • Previous experience as an executive secretary, administrative assistant, or other executive assistant role preferred.
  • A qualified candidate should have very strong communication skills and organizational skills.
  • Strong desire to advance a career in business administration.
  • Ability to perform work outside the job title, for the betterment of the organization and executive.
  • Have a firm understanding of the Microsoft Office suite.
  • Be quick at solving problems and addressing needs of the staff.
  • Ability to handle scheduling.
  • Supply management skills, reporting skills, organization skills, time management skills, and ability to handle office equipment maintenance.
  • Ability to manage multiple calendars.

Senior Executive Assistant Job Duties and Responsibilities

  • Manage the calendar and schedule of the CEO.
  • Coordinate day-to-day activities by maintaining a balance between meeting requests and other activities.
  • Identify conflicts and anticipate or resolving problems through negotiation/influence.
  • Develop routine correspondence and responses for the CEO’s signature.
  • Develop relationship with administrative staff to enhance the ability to conduct business in an agile and efficient manner.
